“My Mailshot Has Not Synchronised From Workbooks to GatorMail.”

Pressing the ‘Synchronise’ button on your Mailshot in Workbooks sets off a sequence of events that will result in it arriving in your Spotler instance as an Integrated Campaign – but what if it doesn’t arrive? If you find yourself waiting for your Campaign to arrive in Spotler, there are a couple of things you can try in the meantime:

  • Be Patient! Depending on the size of the audience, a Mailshot can take several minutes to sync across via the integration. Synchronising multiple Mailshots at the same time can also be detrimental to your Campaigns arriving in GatorMail swiftly. To avoid any Campaigns being sent out late, make sure you sync your Campaigns over to GatorMail well before you intend to send them.
  • Check the Mailshot’s name. Whilst Workbooks supports Mailshot names that are in excess of 100 characters, GatorMail does not. Attempting to sync such a Mailshot will result in the sync queue becoming blocked, preventing any subsequently synchronised Mailshots from arriving in GatorMail. If you have synchronised a Mailshot which has a name exceeding 100 characters, you will need to delete the Mailshot in Workbooks to unblock the queue, before recreating it with a shorter name.
  • Check that your API Key is valid. The sync between Workbooks and GatorMail is managed through an API Key which may be disabled or have expired. System Admins can check the status of any API key by navigating to Start > Configuration > Automation > API Keys. In this window, find the GatorMail API Key and ensure that it has an ‘Until’ date in the future (or blank) and a ‘Valid From’ in the past (or blank). Also sure there is a check in the box ‘Enabled?’.
  • Check that your integration is running. In GatorMail, navigate to Tools > Integration > General. In this screen, ensure there is a green check in the field next to ‘Integration running’. If there is not, please contact Workbooks Support.
